IMPORTANT NOTICE – Form 1095-C Revised Distribution Date: February 26, 2016

As part of our compliance with the Patient Protection and Affordable Care Act Law (PPACA), the RCUH is required to provide you with Form 1095-C. Form 1095-C will provide you with important information about the health insurance coverage that was offered to you (and your family if applicable) during the 2015 calendar year.

The REVISED distribution date for Form 1095-C: Friday, February 26, 2016

You will only receive a Form 1095-C if you:
(a)    Worked 50% full-time equivalency or more, and enrolled in health coverage during the 2015 calendar year
OR
(b)    Worked 75% full-time equivalency or more, and were offered health coverage during the 2015 calendar year

All other employees who do not meet the above requirements will not be receiving a Form 1095-C.

For those that consented to receive an electronic Form 1095-C, you will receive an email notification when your electronic Form 1095-C is available.

Policy Updates: Authorization for Payment (AFP) Form and Cash Reimbursement

Policies 2.702 and 2.703 have been updated and renamed as follows:

RCUH has discontinued the Employee Cash Reimbursement Form.  The AFP Form now has a dual purpose and can be used to: (1) make a direct vendor payment, and (2) reimburse employees for small business expenses.

Please review the new policies for details regarding the permitted uses.

On-Line Approval Process

We are seeking your input on a possible change to the financial system on-line approval process.

Currently, many Secondary Users (SU) create a transaction on behalf of a PI. In some instances, the PI has provided approval authority to the SU to “Submit to FA”, which transmits the transaction to the FA for action. In other cases, the SU does not have the approval authority so the project procedure is that the PI must sign off on a hard copy of the transaction before the SU can click the ‘Submit to FA’ button.

To address the latter situation and work towards a paperless system, we are exploring the feasibility of adding a “PI Approval” button. We realize this will meet the needs of some, but may create issues for others.

TIAA-CREF Individual Retirement Counseling Sessions

ATTENTION:  Regular status employees 50-100% FTE
If you are currently participating in RCUH’s Group Retirement Annuity (GRA) and/or Supplemental Retirement Annuity (SRA) plans administered through TIAA-CREF OR if you are interested in enrolling into a TIAA-CREF SRA plan, the RCUH Human Resources Department is now coordinating one-hour Individual/Employee Retirement Counseling Sessions with TIAA-CREF.  During these meetings, you will be able to discuss your personal financial/retirement goals with a TIAA-CREF Financial Consultant, on a free and confidential basis.

A TIAA-CREF representative will be able to assist you with planning for your retirement goals, including:

  • Setting realistic goals for key life events and retirement
  • Reviewing your investment mix and strategy
  • Selecting your TIAA-CREF options
  • Learning about TIAA-CREF retirement income flexibility

For employees unfamiliar with the SRA plan, it is considered a 403(b) tax-deferred annuity plan which allows an employee to make contributions via payroll deduction from his/her pre-tax earnings towards an individual retirement plan (i.e., SRA) through our third party administrator, TIAA-CREF.  Enrolling or making changes to your SRA election may be done at any time during the year. The RCUH has provided employees with the option to sign up for an electronic Form 1095-C for the 2015 tax filing.

Extended deadline to consent for electronic 1095-C forms: Friday, February 12, 2016 (if you do not consent, a paper Form 1095-C will be mailed to your mailing address on record).

How do I consent for an electronic 1095-C form? The electronic Form 1095-C application on the RCUH Employee Self-Service (ESS) system provides you with a secure and convenient way to receive your 2015 Form 1095-C. You will need to follow one of the two options listed below. A confirmation of your consent or withdrawal of your consent will be sent to your primary email address on record.

(b)    Access www.rcuh.com and click on Employee Self-Service > Benefits > 1095-C Consent

You will only receive a Form 1095-C if you:

W-2 FORM FOR TAX YEAR 2015

To: All RCUH Employees With 2015 Wages:

The Wage and Tax Statement (W-2) forms for the 2015 tax year have been completed.

Employees who submitted consent for an electronic W-2:

Your 2015 W-2 form is now available on the RCUH Employee Self-Service system at www.rcuh.com:
Employee Self Service > User ID and password > Self Service > Payroll and Compensation > View W-2/W-2c Forms

If you are having difficulties opening your .pdf W-2 form, please make sure that the pop-up blocker on your browser is off or allows our website “https://hrweb.rcuh.com.”

For employees who did NOT consent for an electronic W-2:

A paper W-2 form will be mailed to your current mailing address on record on Friday, January 22, 2016.
