Our Annual 2016-2017 Benefits Open Enrollment Sessions have ended and were held from Monday, May 2, 2016 through Monday, May 9, 2016.  Thank you to all who attended our Annual Benefits Open Enrollment Sessions.  We appreciate you taking the time to attend and better understand your benefits and ask questions about the upcoming changes.

As a FINAL REMINDER, all Benefits Open Enrollment Form(s) must be received no later than 4:30p.m., Tuesday, May 17, 2016 (NO EXCEPTIONS).  If your form(s) are not received by the stated deadline, you will need to wait until the next Annual Open Enrollment Period to make any enrollments/changes to your benefit plan(s), unless you experience a mid-plan year qualifying event. If you are waiving your health coverage for this plan year, you will need to submit your waiver form to us.

Last Check Run for FY 2016 (Payments must be approved by 12 noon)

RCUH Financial System scheduled to reopen

July 6

First Check Run for FY 2017 (4:00 PM)

On-line payment and purchasing transactions must be approved by fiscal administrators by 12:00 noon on Thursday, June 30 to be included in FY 2016. The last check run for the fiscal year will be on Thursday, June 30, 2016.  Pending transactions will be saved, and will not be automatically deleted or disapproved in the RCUH financial system.

During the period July 1 through July 5, on-line payment and purchasing transactions can be initiated, but fiscal administrators will not have the ability to approve transactions.  Transactions will not be posted to project accounts until year-end processing is completed.  The RCUH financial system is scheduled to reopen on Wednesday, July 6.  The first check run for FY 2017 is scheduled for Wednesday, July 6 at 4:00 PM.

On an emergency basis only, manual checks can be issued during this period. Fiscal Administrators/Designated UH Officials should contact the RCUH Disbursing Department directly.

Project reports will be accessible on the RCUH website.  However, until processing resumes on July 6, balances will reflect transactions posted through June 30 only.

Request for Project Photos

Dear Project PIs and Coordinators,

RCUH would like to feature RCUH projects on our website, publications, and/or other collateral, but need your assistance to do so.  See the RCUH Annual Report (pages 11-12) for an example of how projects have been presented.  Two items are needed:  photos and a completed information form—see guidelines below for submittal.  Although publications are prepared throughout the year, we are currently updating the RCUH website and would appreciate your submittals as soon as possible.

Photos

  • Horizontal orientation preferred
  • 1500 pixels wide
  • Clear, bright photos (action or staged activity) that tell a story about your project
  • No headshot or group photo, please

2016 Performance Evaluation Training & Other Changes

RCUH Performance Evaluation Forms will be revised for the July 1, 2015 through June 30, 2016 rating period.  The forms will be accessible once training sessions begin.

IMPORTANT NOTE: All evaluations must be completed and turned into RCUH Human Resources by Friday, June 17, 2016 in order to be eligible for annual pay adjustments effective July 1, 2016 (no exceptions).  If forms are completed prior to June 17th, please submit early.

Update to RCUH Family Leave (FMLA) Application Form

To: All Principal Investigators and RCUH Employees

To assist in preparing for any potential operations changes, we have updated our RCUH FMLA Application form by adding a Part IV: Principal Investigator or Supervisor Acknowledgement. If an employee’s leave is foreseeable, the employee must notify and obtain a signature from his/her Principal Investigator or Supervisor prior to submitting their application form to RCUH.

As the policy states in section C) Responsibilities of Parties:

(1) Employee Must Request for Family Leave:

  • If leave is foreseeable, the employee shall provide his/her direct supervisor and the RCUH Human Resources Department with advance notice by submitting a Family Leave Request Form at least thirty (30) days before the requested leave is set to begin.
  • If leave is unforeseeable, the employee shall notify his/her direct supervisor and the RCUH Human Resources Department as soon as practicable.

RCUH’s 2016-2017 Benefit Open Enrollment Sessions – PowerPoint and Other Information

The RCUH Open Enrollment Sessions have started and will continue through May 9, 2016. We encourage you to sign up for a live Open Enrollment sessions. However, for those of you who are unable to attend an upcoming Open Enrollment Session, we are providing you with a copy of the following information:

IMPORTANT REMINDERS:

  • All Health Benefit Enrollment/Change Forms are due to RCUH Human Resources no later than May 17, 2016.
  • If you are NOT making any changes to your medical/dental plan, you do NOT need to submit any forms.
  • Health Insurance Waiver Form: If you are canceling or continuing to waive health insurance, you must submit RCUH Group Health Insurance Waiver Form – RCUH Open Enrollment (Form B-5WB)
  • Flexible Spending Plans (Medical/Dependent Care) with NBS: You MUST re-enroll every year during the Open Enrollment period:
    • Medical Expense Flexible Spending Maximum: $2550/year
      • Any money left in your account at the end of the Plan year (including grace period) will be forfeited (USE IT or LOSE IT).
    • Dependent Care Flexible Spending Maximum: $5000/year
  • 2016-17 Maximum Election Amount for Flexible Spending – Transit Expense (Bus Pass and Parking Pass): New Election is $255/month

REMINDER: RCUH’s 2016-2017 Benefit Open Enrollment Sessions – LAST CHANCE TO SIGN UP!

The Annual RCUH Benefits Open Enrollment Period is here. Open Enrollment packets were sent out to all RCUH benefits-eligible employees on Friday, April 22, 2016, via email or postal mail if no email provided.  If you have not received your packet, please contact us via email [email protected] to request for a duplicate packet.  Please review ALL materials provided.

We encourage you to attend the upcoming sessions since we will be announcing significant changes on your HMSA and Kaiser medical plans.

RCUH will be going from Grandfathered to Non-Grandfathered status on all medical plans through HMSA and Kaiser. The Benefit Open Enrollment Sessions will cover the following changes:

  • New benefits to your plans as a result of changing to a Non-Grandfathered status.
  • Changes to certain services including co-payments, out of pocket maximums and co-insurance.
  • Changes in the cost of plan premiums.

TIAA-CREF Individual Retirement Counseling Sessions

ATTENTION:  Regular status employees 50-100% FTE

If you are currently participating in RCUH’s Group Retirement Annuity (GRA) and/or Supplemental Retirement Annuity (SRA) plans administered through TIAA-CREF OR if you are interested in enrolling into a TIAA-CREF SRA plan, the RCUH Human Resources Department is now coordinating one-hour Individual/Employee Retirement Counseling Sessions with TIAA-CREF.  During these meetings, you will be able to discuss your personal financial/retirement goals with a TIAA-CREF Financial Consultant, on a free and confidential basis.

A TIAA-CREF representative will be able to assist you with planning for your retirement goals, including:

  • Setting realistic goals for key life events and retirement
  • Reviewing your investment mix and strategy
  • Selecting your TIAA-CREF options
  • Learning about TIAA-CREF retirement income flexibility

For employees unfamiliar with the SRA plan, it is considered a 403(b) tax-deferred annuity plan which allows an employee to make contributions via payroll deduction from his/her pre-tax earnings towards an individual retirement plan (i.e., SRA) through our third party administrator, TIAA-CREF.  Enrolling or making changes to your SRA election may be done at any time during the year. For more information about the GRA and SRA plans, please go to our website, www.rcuh.com and review the RCUH Retirement Plans Policy (3.560).
