RCUH’s 2016-2017 Benefit Open Enrollment Session starts today. We have sent all active Regular Status (50%-100%) FTE employees the following documents via email today:

  1. Your Personalized Benefits Summary: Provides you with a chart of your current benefit plan as of April 15, 2016
  2. Benefits Open Enrollment Informational Packet
  3. Your current health plan Summary of Benefits Coverage (SBC)

IMPORTANT REMINDERS:

  • Open Enrollment forms are due to RCUH Human Resources by May 17, 2016.
  • RCUH will be going from a Grandfathered to Non-Grandfathered Status in this upcoming plan year starting July 1, 2016. Open Enrollment Sessions are available for sign ups via Employee Self Service. Please click here for a link to our current news article.
  • Effective Date of Benefit Changes start on July 1, 2016.

Travel for Non – Immigrant Employees During Summer Season

Summer Season is approaching!  If you are on a non-immigrant visa and will be traveling during the summer season, we would like to remind you to email RCUH Human Resources – Immigration ([email protected]) at least two (2) weeks prior to your travel so that we can ensure that you have the proper documentation to travel and to return back into the United States. Please provide us with the following information:

(1) Dates of Travel (Departure and Return Dates)

(2) Who will be traveling with you

(3) Reason for Travel

RCUH will prepare the proper travel verification of employment prior to your travel and will provide to you as soon as your request has been received.

IMPORTANT REMINDER(S) WHILE TRAVELING OUTSIDE THE U.S.:

  • The I-94 admission record.  Please go to www.cbp.gov/I94 after your return to check your online admission record then submit a copy of your admission record to the RCUH Human Resources office upon return to the U.S.
  • Check the entry stamp to ensure that the period of admission matches the expiration date of the approved visa status.  For example, be sure to check the validity dates of your passport before travel.  If the passport expires prior to your approved visa status you should renew the passport before you return to the U.S.  If you do not renew the passport, upon re-entry to the U.S., the immigration officer will issue an admission record valid only until the passport’s expiration.
  • If you are a nonimmigrant employee who has a pending “change of status” petition (i.e., change from F-1 to H-1B, etc.) with the U.S. Citizenship and Immigration Services (USCIS), you must remain in the U.S. until a determination on the petition is rendered.  Whenever an individual with a pending “change of status” petition departs the U.S., USCIS will cancel the petition since they consider the beneficiary to have “abandoned” the request.

RCUH’s 2016-2017 Benefit Open Enrollment Session sign up starts today.  We encourage you to attend the upcoming sessions since we will be announcing significant changes on your HMSA and Kaiser medical plans.

RCUH will be going from Grandfathered to Non-Grandfathered status on all medical plans through HMSA and Kaiser. The Benefit Open Enrollment Sessions will cover the following changes:

  • New benefits to your plans as a result of changing to a Non-Grandfathered status.
  • Changes to certain services including co-payments, out of pocket maximums and co-insurance.
  • Changes in the cost of plan premiums.

TRAINING: Active Shooter Training – Big Island

The University of Hawaii at Hilo has extended an offer to RCUH employees located on the Big Island to participate in an Active Shooter Training.  Please refer to the University of Hawaii at Hilo’s announcement below.

The Hawai’i Police Department will present an Active Shooter presentation to educate staff and faculty on the current trends in dealing with an Active Shooter and reactions to expect from the public based on informational campaigns, and provide additional resources to help in making the best decisions for our campus community.

RCUH Financial System Modernized User Interface, Announcement No. 7 – Search All Documents

Search All Documents has been added as a new feature in the RCUH Financial Portal. This new feature provides the ability to perform a search that looks at all Purchasing, Payment, and Travel documents combined in one search. It also provides the ability to search (by words, number, etc.) within certain fields in the documents.

We are in the process of reconfiguring the database to improve search capability. These changes will make it possible to do faster and more flexible searches in the future. In this initial phase, we are releasing basic search functionality so that you can have access to this feature immediately. In our next releases we will be gradually increasing performance and adding functionality.

Following are questions that were asked during the development and testing of the Search All Documents feature:

Frequently Asked Questions:

    1. What is the difference between Search Documents (Search PO, Search Payment, Search Travel) and Search All Documents?  I did a search in Search Payments and Search All Documents and my results were different.

The Search PO Documents, Search Payments, and Search Travel Documents will only perform a basic search on the fields in the listing screens (PO #, Payment Request #, Document #, Project #, Vendor Name, Check #, etc.).  The Search All Documents will search on the fields in the listing screens, in addition to searching within specified fields in the documents (Descriptions, Reasons for Payment, Internal Comments, etc.). For example, searching for “Dell” in Search Payments will produce a list of payments to vendor names that contain Dell, such as Dell, Inc. and Dell Marketing.   However, searching for “Dell” in Search All Documents will produce a list that may include payments to Bankcard Center for a Dell computer.

    1. The response time is slow.

In this initial release, results may take several seconds to appear. We are aware of this, and are in the process of improving the search performance.

    1. Why are there only 2 boxes to enter keyword search criteria (compared to 6 in the past)?

For the initial release of the Search All Documents, having fewer search criteria will help to improve the search performance. As we continue to make improvements, we will evaluate adding additional search criteria.

    1. Can we have the ability to “find exact word matches only”?

We will be adding this functionality in the future.

    1. Are we able to use wildcard search functions?

No. However, the search already performs a wildcard search in that it matches any one or more characters.  For example, a search for “UH” will match any text that includes UH, such as UH Bookstore or RCUH.

    1. Can keywords be highlighted in the document itself?

We may be adding this functionality in the future.  In the meantime, we suggest using the Find function in your web browser.

    1. When searching for amount, what format should I use?  In what field is the search looking at?

Enter the numerical amount with decimals, no commas.  For example, to search for a payment of $10,000.00, enter 10000.00 as your search criteria.  The search will look in the Amount field in the listing screens.  It will also search within specified fields in the documents (Descriptions, Reasons for Payment, Internal Comments, etc.). Since the search performs a wildcard search, a search for “10000.00” will match any amount that includes 10000.00, such as $210,000.00.  We expect that adding the ability to “find exact word matches” in the future will address this and enable you to find your specific document.

    1. When searching for a date, what format should I use? In what field is the search looking at?

Enter the date as month/day/year (MM/DD/YY, MM/DD/YYYY, MM-DD-YY, or MM-DD-YYYY).  The search will look in the Check Date and Approved Date fields in the listing screens.  It will also search within specified fields in the documents (Descriptions, Reasons for Payment, Internal Comments, etc.).  It will NOT search in the Trip Itinerary Arrival or Departure fields.

TIAA-CREF Individual Retirement Counseling Sessions

ATTENTION:  Regular status employees 50-100% FTE

If you are currently participating in RCUH’s Group Retirement Annuity (GRA) and/or Supplemental Retirement Annuity (SRA) plans administered through TIAA-CREF OR if you are interested in enrolling into a TIAA-CREF SRA plan, the RCUH Human Resources Department is now coordinating one-hour Individual/Employee Retirement Counseling Sessions with TIAA-CREF.  During these meetings, you will be able to discuss your personal financial/retirement goals with TIAA-CREF Financial Consultant, on a free and confidential basis.

A TIAA-CREF representative will be able to assist you with planning for your retirement goals, including:

  • Setting realistic goals for key life events and retirement
  • Reviewing your investment mix and strategy
  • Selecting your TIAA-CREF options
  • Learning about TIAA-CREF retirement income flexibility

For employees unfamiliar with the SRA plan, it is considered a 403(b) tax-deferred annuity plan which allows an employee to make contributions via payroll deduction from his/her pre-tax earnings towards an individual retirement plan (i.e., SRA) through our third party administrator, TIAA-CREF.  Enrolling or making changes to your SRA election may be done at any time during the year.
