RCUH Modernization Project – Links to Old Format of POs & POCFs to be Removed on August 2, 2014

As you know, we implemented new Purchase Requisition and Purchase Order Change forms and, during transition, provided links to both the new and old formats.  The links to the old form will be removed on Saturday, August 2, 12:00 am.  At that point, the PO and PO Change forms will no longer be available in the old format and these forms will now be available only in the new format.

RCUH Flexible Spending Plans – National Benefits Services (NBS) Website Upgrades & Changes

Effective September 1, 2014, RCUH’s third-party administrator for all Flexible Spending Plans (Medical Expense and Dependent Care Expense Reimbursement Accounts) and Pretax Transportation Benefits (Parking and Bus Pass), National Benefits Services (NBS), will upgrade and enhance their website features.  Participants will be able to interact with balances and summaries, review historical transactions, track medical expenses, set communication preferences, and etc.  Also, the new Mobile App will allow participants to submit claims and more.

 

With this website upgrade, all RCUH employees currently participating in those benefits:

 

1.    Must contact NBS directly ONLY IF corrections or updates to your mailing and/or e-mail addresses need to be made

 

2.    Will be receiving notifications directly from NBS via mail or e-mail on this change

 

3.    Must (re)set-up/log-in to the new NBS website online account using:

 

a.    The Employer ID # that NBS will provide via mail and/or e-mail, OR

 

b.    Your Debit Card #

 

4.    Will be receiving NEW DEBIT CARDS prior to the end of August 2014

Annual Pay Increases Approved by RCUH HR for 7/1/2014 Effective Date

The RCUH Human Resources Department has approved all online pay award/personnel action forms (PA/PAF) that were entered and approved by the deadline, July 9, 2014. Your employee(s) pay awards will be paid out in their July 22, 2014 paycheck.

Online Pay Award/Personnel Action Form (PA/PAF) Due TODAY July 9, 2014 at 5:00 PM

As a reminder, the online Pay Award/Personnel Action Form (PA/PAF) available via the RCUH Human Resources Management Portal is due today at 5:00 PM.

Once you have entered and saved your employee’s pay adjustments, you must contact your Fiscal Officer (FO) to review the PA/PAF to confirm if there is “funding available” or “no funding available.” The RCUH Human Resources Department will then review the PA/PAF upon receipt of PI and FO approvals. All pay adjustments entered and approved by July 9, 2014 at 5:00 p.m. by the RCUH Human Resources Department will be paid out in your employee(s) July 22, 2014 paycheck.

Student Assistant Pay Rate Increase – Effective July 1, 2014

To:    All Principal Investigators and Fiscal Officers

Effective July 1, 2014, the RCUH initiated an automatic mass upload to adjust all RCUH Student Assistant employees’ pay rates by 3%. This change was pursuant to the September 16, 2013 announcement by the University of Hawaii that announced the new Student Assistant pay rate schedule.

FINANCIAL SYSTEM PROCESSING NOW AVAILABLE

The RCUH fiscal year-end processing has been completed. You may now approve purchase orders and payment documents online. The first check run for fiscal year 2015 will be on Thursday, July 3, 2014 at 4:00 PM.

Reminder: Service dates are required for all payment transactions through Friday, August 29. For payments approved after July 31, $10,000 or greater, and with service dates of June 30 or earlier, please complete the attached “L-11 Accounts Payable Not Paid by 07-31-14” worksheet. Please include estimates or projections for invoices that have not been received as of August 1.  Please email your worksheet to UH General Accounting at [email protected] by Friday, August 8.  For the subject line of the email, enter “L-11 Accounts Payable” and your 3 digit UH FA number (i.e. L-11 Accounts Payable 036).  Please see the June 25, 2014 General News item for more details.

TIAA-CREF Individual Retirement Counseling Sessions

ATTENTION:  Regular status employees 50-100% FTE

If you are currently participating in RCUH’s Group Retirement Annuity (GRA) and/or Supplemental Retirement Annuity (SRA) plans administered through TIAA-CREF OR if you are interested in enrolling into a TIAA-CREF SRA plan, the RCUH Human Resources Department is now coordinating one-hour Individual/Employee Retirement Counseling Sessions with TIAA-CREF.  During these meetings, you will be able to discuss your personal financial/retirement goals with a TIAA-CREF Financial Consultant, on a free and confidential basis.

A TIAA-CREF representative will be able to assist you with planning for your retirement goals, including:

  • Setting realistic goals for key life events and retirement
  • Reviewing your investment mix and strategy
  • Selecting your TIAA-CREF options
  • Learning about TIAA-CREF retirement income flexibility 

For employees unfamiliar with the SRA plan, it is considered a 403(b) tax-deferred annuity plan which allows an employee to make contributions via payroll deduction from his/her pre-tax earnings towards an individual retirement plan (i.e., SRA) through our third party administrator, TIAA-CREF.  Enrolling or making changes to your SRA election may be done at any time during the year. For more information about the GRA and SRA plans, please go to our website, www.rcuh.com and review the RCUH Retirement Plans Policy (3.560).

IMPORTANT! 12 noon 6/30/14 Payroll Deadline

(1)          The payroll deadline for the 6/16 – 6/30/14 pay period is at 12 noon on June 30, 2014.  The RCUH on-line timesheets are now available on the HR Administrative Management Portal (HR AMP) at https://hrportal.rcuh.com.

(2)          An additional timesheet was created for each employee whose performance evaluation was submitted.  Please click on both Pay boxes to pay your employees for the entire pay period.  See example below:
