Important Dates:

 

June 28 Last Check Run for FY 2013 (Payments must be approved by 12 noon)
July 3 RCUH Financial System scheduled to reopen
July 3 First Check Run for FY 2014 (4:00 PM)

The last check run for the fiscal year will be on Friday, June 28, 2013.  On-line payment transactions must be approved by fiscal officers by 12:00 noon on Friday, June 28, to be included in the check run. 

 

During the period June 29 through July 3, on-line payment and purchasing transactions can be initiated, but fiscal officers will not have the ability to approve transactions.  Transactions will not be posted to project accounts until the year-end processing is completed.  The RCUH financial system is scheduled to reopen on Wednesday, July 3.  The first check run for FY 2014 is scheduled for 4:00 PM on Wednesday, July 3.

 

On an emergency basis only, manual checks can be issued during this period. Fiscal Officers/Designated UH Officials should contact the RCUH Disbursing Department directly.

 

Project reports will be accessible on the RCUH website.  However, until processing resumes on July 3, balances will reflect transactions posted through June 28 only.

Management Fee for UH Intramural “GRS” and Revolving Accounts

 

 

Effective July 1, 2013, the RCUH fee for “GRS” and Revolving Fund accounts will be 3.2% MTDC in accordance with the Rate Agreement dated April 3, 2013 between UH/RCUH and the Federal Government.

 

The RCUH fee for “GRS” accounts may be reduced to 1.5% MTDC if serviced ordered amounts are paid to RCUH in advance.  To ensure the reduced rate, the service order must clearly indicate this is a “Bill in Advance” account.

2013 RCUH Annual Performance Evaluations

 

To:  Principal Investigators and Project/Program Managers:

 

 

 

Pursuant to 3.410 RCUH Annual Performance Evaluations and 3.360 Performance Based Compensation Policy, All Regular status employees (not in a New-Hire Probation period) must receive an Annual Performance Evaluation, regardless if a pay increase is assigned. Therefore, all Principal Investigators must complete a Performance Evaluation Form for each Regular status employee, who is not in his/her New Hire 6-month probation status for the period July 1, 2012 through June 30, 2013. 

 

 

 

New-Hire Probation status employees are individuals hired in the period: January 1, 2013 through June 30, 2013. These employees are not subject to this year’s Annual Performance Evaluation process.  Instead, these employees may receive a six (6) month post new-hire probation evaluation at the discretion of their Principal Investigator.

 

 

 

RCUH Annual Performance Evaluations may be completed using the RCUH Long or Short evaluation formats:

Training:  The RCUH will be conducting training on how to conduct a performance evaluation and how to complete the RCUH Annual Performance Evaluation forms.  See announcement on the RCUH Current News site for dates, times and places.

 

 

 

Principal Investigators should plan to review the Annual Performance Evaluation with the employee.  Each performance evaluation must be signed by the Principal Investigator.  Employee’s signature is requested but not mandatory.  The Principal Investigator should submit these complete performance evaluations to the RCUH Human Resources Department on or before Monday June 24, 2013.

 

 

 

RCUH Pay Award Guidelines will be issued on or before June 7, 2013.

FLEXIBLE SPENDING PLAN – Plan Year July 1, 2012-June 30, 2013 Reimbursements

 

2 MONTHS LEFT…to utilize your current Flexible Spending Plan Accounts (Medical Expense Reimbursement & Dependent Care Expense Accounts).  The end of the current Flexible Spending Plan Year is quickly approaching (June 30, 2013).  Services must be incurred during the plan year ending June 30, 2013.   Unused contributions will be forfeited at the end of the plan year (NO EXCEPTIONS).  

 

 

 

You may contact National Benefit Services (NBS) at 1(800) 274-0503 to obtain an updated status of your account.  Claims for reimbursements can be faxed (800/478-1528), mailed (National Benefit Services, LLC P.O. Box 6980, West Jordan, UT 84084), emailed ([email protected]) or uploaded via the Participant Website at https://www.nationalbenefitservices.com/.  

 

 

 

We urge all employees to submit their reimbursement forms to NBS in a timely manner.  Although services MUST be incurred by June 30, 2013, you have 90 days after this date to submit your reimbursement forms with ALL supporting documentation (ex. receipts, contracts) needed to reimburse you for Flexible Spending monies.  DO NOT WAIT until the end of the 90-day grace period to submit your reimbursement forms!!! SUMMER HIRING

 

Summer is the busiest season for the RCUH Human Resources Department.  In addition to being our peak hiring season, it also coincides with our Benefit Open Enrollment, Fiscal Year End, and Annual Performance Evaluations.

In anticipation of the peak hiring season, we ask all Principal Investigators and Project Administrators to review and adhere to the deadlines below to ensure that all hires are reviewed and approved without delay.  We appreciate your cooperation and assistance.

Selections for Regular Hires: minimum of 10 business days before target date of hire.

Non-Recruited Hires (Temporary, Specialized Service, Student Assistants, and Intermittent hire): minimum 7 business days before target date of hire.

Group Hires (6 or more employees): minimum of 15 business days before target date of hire.

Missing documents pertaining to the selection and/or incomplete new hire documents may cause the hire date to be delayed.  A formal offer of employment is made by the Principal Investigator only AFTER receiving approval to hire from the RCUH Human Resources Department.  Hire dates will be confirmed by our office via email.  All new hires & rehires are NOT approved to start working until their hire date has been confirmed by the RCUH Human Resources Office.
