TRAINING: RCUH Human Resources Portal (HR AMP) August 2012

RCUH Human Resources will be conducting our monthly Human Resources Administrative Management Portal (HR AMP) training to assist NEW users or those needing a “refresher course”. This training is designed to equip project support staff with the basic knowledge and skills to initiate Human Resources actions via the RCUH Web System. During this 3-hour HR AMP training session, hands-on instruction will be provided for the following transactions:

  1. Introduction to the RCUH HR AMP System
  2. Navigating the RCUH HR AMP System
  3. Initiating Non-Recruited (Temporary, Student, Specialized Services, & Intermittent) Employees
  4. Initiating Position Requests (Regular Employees)
  5. Processing Payroll/Time Reporting
  6. Project Number Changes & Vacation Transfer/Payout Actions
  7. Changing Employee’s Full-Time/Part-Time Status (FTE Changes)
  8. Terminating Employees

Certificate of Vendor Compliance

RCUH is NOT required to comply with HRS §103D-310(c) by obtaining a Certificate of Vendor Compliance for purchases $2,500 or more.  RCUH is exempt from Chapter 103D.

 

In accordance with HRS §103-53, a tax clearance from the State of Hawaii Department of Taxation (DOTAX) and the Internal Revenue Service (IRS) is required for all contracts $25,000 or more.  Please refer to our Policies and Procedures 2.218 Tax Clearance for further information and guidance.

Financial System Processing Now Available

The RCUH fiscal year-end processing and system conversion has been completed. You may now approve purchase orders and payment documents online. The first check run for fiscal year 2013 will be on Monday, July 9, 2012 at 4:00 PM.

Budgets and Insufficient Funds – Applicable to Federal and Private FREDI Accounts Only

RCUH purchasing and payment transactions for Federal and Private FREDI accounts cannot be approved if they do not pass the fund balance check.  The account budget must first be established in KFS.  Once the budget is established in KFS, the account information will be sent from KFS to RCUH during the nightly FREDI batch process.  Users should be able to approve purchasing and payment transactions the following business day.

ORS has manually uploaded budgets for these accounts via the Single Sided Budget Adjustment eDoc in KFS.  This document will route to the fiscal officer for approval and the budget will be established in KFS after the eDoc has been fully approved.

 

RCUH Human Resources Department Moving

On July 27, 2012, the RCUH Human Resources Department will be located on the 4th floor of the John A Burns Hall at the East West Center.  Please update your records.  Our new office and mailing address will be:

RCUH-Kuali Conversion Informational Session Schedule

RCUH would like to present an informational session on the changes made to the RCUH online portals in order to maintain consistency with the newly implemented Kuali Financial System.

 

This session is targeted for current RCUH users who are already familiar with RCUH’s Financial Portal (Purchasing and Payments) and Human Resources Portal (HR AMP).  Training curriculum for new RCUH users is being developed and scheduled for late July/early August.

 

The purpose of this session is to introduce the RCUH-based changes of the RCUH online portals, such as the addition of new sub-fields.   We will not be covering the changes that affect UH’s transition from FMIS to KFS.

 

In addition, this informational session is for project users who initiate requests via RCUH’s online portals.  This session will not cover the role of the Administrative Officers/Fiscal Officers.

New KFS Object Codes – Applicable to UH Federal & Private FREDI Accounts Only

This is a reminder that some FMIS object codes have been deleted and new KFS codes have been established.  Only valid KFS codes will be permitted on new RCUH encumbrances and direct payment documents when RCUH re-opens for business beginning July 9, 2012.

 

Below is an example of changes in the UH’s property object code range.  The new property codes utilize a 3-digit + Alpha suffix format.  The suffix represents the property’s ownership.   The table lists the “most frequently used” FMIS property codes and the new KFS codes that are replacing the old code.
