TIAA-CREF Individual Retirement Counseling Sessions

ATTENTION:  Regular status employees 50-100% FTE

 

If you are currently participating in RCUH’s Group Retirement Annuity (GRA) and/or Supplemental Retirement Annuity (SRA) plans administered through TIAA-CREF OR if you are interested in enrolling into a TIAA-CREF SRA plan, the RCUH Human Resources Department is now coordinating one-hour Individual/Employee Retirement Counseling Sessions with TIAA-CREF.  During these meetings, you will be able to discuss your personal financial/retirement goals with a TIAA-CREF Financial Consultant, on a free and confidential basis.

 

A TIAA-CREF representative will be able to assist you with planning for your retirement goals, including:

  • Setting realistic goals for key life events and retirement
  • Reviewing your investment mix and strategy
  • Selecting your TIAA-CREF options
  • Learning about TIAA-CREF retirement income flexibility 

For employees unfamiliar with the SRA plan, it is considered a 403(b) tax-deferred annuity plan which allows an employee to make contributions via payroll deduction from his/her pre-tax earnings towards an individual retirement plan (i.e., SRA) through our third party administrator, TIAA-CREF.  Enrolling or making changes to your SRA election may be done at any time during the year. (FINAL REMINDER) Flexible Spending Plan Accounts – Use or Lose It

TO: All Regular-Status Employees who are enrolled in Flexible Spending Plan Accounts

 

There is approximately one (1) month left to utilize your current Flexible Spending Plan Accounts (Medical Expense Reimbursement & Dependent Care Expense Accounts).  The end of the current Flexible Spending Plan Year is quickly approaching (June 30, 2014).  Services must be incurred during the plan year ending June 30, 2014.  Unused contributions will be forfeited at the end of the plan year (NO EXCEPTIONS).

 

All employees should submit their reimbursement forms to National Benefit Services (NBS) in a timely manner.  Services MUST be incurred by June 30, 2014. However, you have ninety (90) days after this date to submit your reimbursement forms with ALL supporting documentation (i.e. receipts, contracts) required. 

In order to claim/submit for reimbursements, you need to complete the NBS reimbursement form and submit it along with a copy of your receipt(s) to National Benefits Services via fax, mail, or email:

Job Description Updates for Current Employees – HIPAA/PHI Compliance

To: All Principal Investigators

The RCUH is relying on individual schools and projects to comply with all Health Insurance Portability and Accountability Act (HIPAA) and Protected Health information (PHI) privacy, security and breach notification rules pursuant to the requirements set forward by the U.S. Department of Health & Human Services.

The RCUH is currently reviewing job descriptions of all current employees to identify potential positions that handle HIPAA and/or PHI. All employees that handle or have access to HIPAA/PHI must have their job descriptions updated and signed with the following:

  • Policy and/or Regulatory Requirements:  As a condition of employment, incumbent will be subject to all applicable RCUH policies and procedures and as applicable subject to University of Hawaii's and/or business entity's policies and procedures.  Violation of RCUH's, UH's, or business entity's policies and/or procedures or applicable State or Federal laws and/or regulations may lead to disciplinary action (including, but not limited to possible termination of employment, personal fines, civil and/or criminal penalties, etc.).
  • Must complete University of Hawaii's and business entity's training relating to HIPAA/PHI privacy and security relating training as soon as possible but not later than the first six (6) months of the new hire probation period. Must maintain a current status on University and/or business entity's training requirements.
  • A post offer criminal background check.

 

The RCUH will also require the following from the employee’s Principal Investigator:

  • A copy of the project’s HIPAA/PHI policy and training requirements.

  • Contact information of the project’s Security Officer.

  • A copy of the certification of the employee’s completion of HIPAA/PHI training.

  • A signed memo from the Principal Investigator confirming that the project will be directly responsible to ensure the RCUH employee’s full compliance with all established HIPAA/PHI laws and the project’s HIPAA/PHI policies and procedures, and that in the event of a data breach, the project will take necessary and timely action to inform the appropriate parties, including the RCUH Human Resources Department.

Warrior Recreational Center Membership for RCUH Employees

The University of Hawaii at Manoa has opened a Warrior Recreation Center that includes select equipment, free weights, and cardiovascular equipment to provide students and faculty with an opportunity to live a healthy and active lifestyle.

 

As an RCUH employee, you are able to become a member of the Warrior Recreation Center Gym as long as you have your RCUH Faculty/Staff ID Card. If you do not have an RCUH Faculty/Staff ID Card, please click here. Once you obtain your ID card, you may sign up at the Warrior Recreation Center.

2013 – 2014 Annual Performance Evaluations – Due to RCUH on June 23, 2014

To:      All Principal Investigators

 

After much consideration, we have decided to make only minor changes to the Annual Performance Evaluation (APE) Forms. Highlighted changes to the form(s) include the following: 

·         Rating Definitions and Summary Ratings: “Competent” changed to “Satisfactory”

·         Added in Performance Competency: “Support & Contributions to Success of the Project: Factual and measurable results achieved resulting to project’s success”

·         Elimination of Project Administrative Review Signature

You may use either the long form or the short form for your employee(s). After completion of the evaluation, you must meet with your employee(s) to go over their evaluation. You should also review your employee’s job description to ensure that it is up to date. If it is not up to date, you will need to submit an electronic copy (with track changes) to RCUH Human Resources at [email protected].

All Annual Performance Evaluation Forms are due to RCUH Human Resources no later than June 23, 2014. You may submit all evaluations via scan and email to [email protected]. We will not be accepting any late performance evaluations. All Annual Performance Evaluations must be turned in by June 23, 2014 in order to be eligible for the pay awards (no exceptions will be granted).

We will be announcing the pay award guidelines on the afternoon of June 3, 2014. All pay adjustments will be done through the Human Resources Administrative Management Portal (via the Pay Award/Personnel Action Form (PA/PAF)), which will be available on June 25, 2014 for submission. All pay adjustments must be submitted via HRAMP no later than July 9, 2014 (no exceptions). We will be providing additional details during the first week of June.

RCUH – HMSA’s Vision Coverage Code Benefit Update

Effective July 1, 2014, RCUH employees and their dependent(s) who are HMSA members will receive an updated Vision Coverage Code to include the Pediatric Vision Update.  In order to comply with the Affordable Care Act – Health Care Reform, the benefit allows covered dependents under the age of nineteen (19) years old to receive services from a participating provider with no annual dollar limit and services from a nonparticipating provider with no service limit. 

Therefore, HMSA will issue new cards to their members with the updated vision coverage code during mid-June, prior to July 1, 2014.  Please click here to view HMSA’s Special Vision Care Benefits Rider Summary of Benefit Changes notice.  This is the only change to HMSA’s health insurance plans.
