Coming this Fall: Updated Attachment B and Recruitment Request Process

 Attention: All Principal Investigators, Supervisors, Fiscal Administrators and Administrative Staff

The RCUH Human Resources Department is proud to announce the launch of our updated Attachment B and recruitment request process on September 10, 2018. The Position Requisition Form (PRF) and Attachment B Form will merge so initiating a Regular-status position will become one fluid process. The Attachment B Form will also move from the RCUH Financial Portal to the RCUH Human Resources Portal.

We have attached an overview of these changes and will release a detailed user guide as we get closer to the launch.

Reminder: TIAA Individual Retirement Counseling Sessions (UH Manoa)

ATTENTION:  Principal Investigators & Regular-status employees 50-100% FTE

With the new Fiscal Year in full swing, we would like to encourage RCUH employees to review their current retirement contributions! Perhaps you have been contemplating enrolling in RCUH’s Supplemental Retirement Annuity (SRA) but need more guidance? Or perhaps you already have a SRA and received a pay raise so, you are deciding whether or not you would like to increase your contributions? Regardless of your current status, we would like to invite you to attend the upcoming TIAA Individual Retirement Counseling Sessions at UH Manoa.

We encourage Principal Investigators to allow their employees to attend the TIAA Counseling Sessions if requested.  All employees must notify their PIs and supervisors if they would like to attend, as the sessions are being held during business hours.

If you are currently participating in RCUH’s Group Retirement Annuity (GRA) and/or SRA plans administered through TIAA OR if you are interested in enrolling into a TIAA SRA plan, the RCUH Human Resources Department is now coordinating one-hour Individual/Employee Retirement Counseling Sessions with TIAA.  During these meetings, you will be able to discuss your personal financial/retirement goals with a TIAA Financial Consultant on a free and confidential basis.

A TIAA representative will be able to assist you with planning for your retirement goals, including:

  • Setting realistic goals for key life events and retirement
  • Reviewing your investment mix and strategy
  • Selecting your TIAA options
  • Learning about TIAA retirement income flexibility

For employees unfamiliar with the SRA plan, it is considered a 403(b) tax-deferred annuity plan which allows an employee to make contributions via payroll deduction from his/her pre-tax earnings towards an individual retirement plan (i.e., SRA) through our third-party administrator, TIAA.  Enrolling or making changes to your SRA election may be done at any time during the year.

Accepting Fall 2018 Tuition Reimbursement Applications

RCUH is now accepting applications for Fall 2018 tuition expense reimbursements.   We encourage you to submit your application as soon as possible as funding is limited and requests will be approved on a first-come, first-served basis. Please note that applications are due at the close of business 2 business days prior to the first day of instruction in the applicable semester. For example, UH Manoa’s first day of instruction for Fall 2018 is August 20 – therefore RCUH must receive your COMPLETED application by 5:00 p.m. on Wednesday, August 15.

Please review the tuition reimbursement policy for details and other eligibility requirements and use the new application form, which is also available in the forms section of the Employee Self-Service portal.

EEO/Sexual Harassment Prevention training available online

RCUH is pleased to offer a new online course, “EEO/Sexual Harassment Prevention Training”. The Employee Course will take approximately 75 minutes to complete, while the Supervisor Course is estimated at 100 minutes. Each course includes multiple modules, but you do not need to complete the entire course in one sitting. If you click the “Exit” button during one of the interactive modules, your place will be saved. When you return, you will start where you left off.

Please refer to policies 3.110 and 3.120 for further details.

Pay Award/Personnel Action Form (PA/PAF) – Available June 22 through July 6, 2018!

NOTE: This is only applicable for those who submitted Annual Performance Evaluations by the June 15th deadline and are providing their employees with pay increases or one-time payments effective July 1, 2018. Pay adjustments are applicable to RCUH Regular-status employees (regardless of FTE) who successfully passed their probationary status.

TO:  Principal Investigators, Project Administrators and Fiscal Administrators

The online Pay Award/Personnel Action Form (PA/PAF) for salary adjustments effective July 1, 2018 will be available via the Human Resources Portal from June 22, 2018 through July 6, 2018. Principal Investigators must complete and submit the PA/PAF by Friday, July 6, 2018.

To access the online PA/PAF:

  • Login to the Human Resources Portal
  • Click on “Manage Employees” Tab
  • Click on “Annual Pay Awards (PA/PAF)”

If you submitted a Performance Evaluation to shorten an employee’s probationary period (i.e., June 30, 2018) and would like to provide the employee with a pay increase or one-time payment effective July 1, 2018, you must complete an ePAF – Performance Evaluation/Award. The ePAF must be processed via the RCUH Human Resources Portal and is different from the PA/PAF. The deadline to submit an ePAF is July 10, 2018.

To access the online ePAF:

  • Login to the Human Resources Portal
  • Click on “Manage Employees” Tab
  • Click on “Employee Changes (ePAF)”
  • Select Action: Performance Evaluation/Award, Post-Probation Performance Evaluation

NOTE:  For pay increases/one-time payments effective October 1, 2018, all performance evaluations must be submitted to RCUH Human Resources by September 14, 2018. The online Pay Award/Personnel Action Form (PA/PAF) will be available via the Human Resources Portal from September 21, 2018 through October 5, 2018.
