Revised Form I-9, Employment Eligibility Verification

Attention: Project Administrators who assist new hires in completing Form I-9

On July 17, 2017, the U.S. Citizenship and Immigration Services (USCIS) released a revised version of the Form I-9, Employment Eligibility Verification.

Effective immediately, RCUH Human Resources will utilize the revised version of the Form I-9. All new hires will be required to complete the revised version, dated 07/17/2017.

Revisions to the Form I-9 instructions:

  • USCIS changed the name of the Office of Special Counsel for Immigration-Related Unfair Employment Practices to its new name, Immigrant and Employee Rights Section.
  • USCIS removed “the end of” from the phrase “the first day of employment.”

Revisions related to the List of Acceptable Documents on Form I-9:

  • USCIS added the Consular Report of Birth Abroad (Form FS-240) to List C. Employers completing Form I-9 on a computer will be able to select Form FS-240 from the drop-down menus available in List C of Sections 2 and 3. E-Verify users will also be able to select Form FS-240 when creating a case for an employee who has presented this document for Form I-9.
  • USCIS combined all the certifications of report of birth issued by the Department of State (Form FS-545, Form DS-1350, and Form FS-240) into selection C #2 in List C.
  • USCIS renumbered all List C documents except the Social Security card. For example, the employment authorization document issued by the Department of Homeland Security on List C changed from List C #8 to List C #7.

**The Kauai ethics training class for state employees for August 4, 2017 is full. Registration for this class is now closed. Please see the Hawaii State Ethics Commission 2017 Ethics Training Schedule for other available classes.**

Classes are open to all state employees.  Please forward this information to employees in your agency and encourage employees who have not received ethics training to attend an ethics training this year.

HMSA Maui County Community Hospitals Transition

TO:      All RCUH HMSA Members in Maui and Lanai 

Effective July 1, 2017 Kaiser Foundation Hospitals will start operating at Maui Memorial Medical Center, Kula Hospital and Lanai Community Hospital.  Please be assured that the change will not affect your access to care and all of these community hospitals will continue accepting HMSA members.

You can keep seeing your doctors and specialists at the hospital and it will be quality care as usual.  Please see attached Maui County Community Hospitals Transition Frequently Asked Questions (FAQs) from HMSA.

RCUH Advanced Payroll Deadline for Pay Period Ending 06/30/17 is 12:00 noon on FRIDAY, June 30, 2017

The RCUH payroll deadline for the 06/16/17-06/30/17 pay period is 12:00 noon on FRIDAY, June 30, 2017.   The deadline has been moved up one day due to the Independence Day holiday.

IMPORTANT:

  • Online timesheets will be available starting WEDNESDAY June 28, 2017.
  • Online timesheets must be submitted no later than 12:00 noon, FRIDAY, JUNE 30, 2017
  • Be sure to check for verification of your electronic submission (name, date, time and confirmation number) and that the correct number of timesheets were submitted (x of x).
  • Supporting documentation (for Timekeeper Co-certification, Bereavement, Jury Duty, Parent/Teacher Conference, Military Leave) must be submitted to RCUH Payroll by 12:00 noon, FRIDAY, JUNE 30, 2017
  • RCUH employees will NOT be paid if the online timesheets and supporting documentations are not submitted by the RCUH payroll deadline.
  • Late timesheets will be processed retroactively with the next scheduled payroll processing.

2017 Pay Award/Personnel Action Form (PA/PAF) – GO LIVE TODAY, June 22, 2017 through July 11, 2017!

NOTE:  This is only applicable for those that submitted Annual Performance Evaluations by the June 16, 2017 deadline and would like to provide their employees with pay increases or one-time payments effective July 1, 2017. The pay awards are only applicable to RCUH regular-status employees (regardless of FTE).

TO:  Principal Investigators, Project Administrators and Fiscal Administrators

The online Pay Award/Personnel Action Form (PA/PAF) is now available for use via the Human Resources Portal. As a reminder, the online PA/PAF must be initiated and approved by no later than July 11, 2017 (no exceptions) to provide a pay adjustment/award for your employee(s), effective July 1, 2017.

To access the online PA/PAF:

  • Login to the Human Resources Portal
  • Click on “Manage Employees” Tab
  • Click on “Annual Pay Awards (PA/PAF)”

If you have submitted a manual PAF and Performance Evaluation to end an employee’s probationary period earlier and would like to provide the employee with a pay increase or one-time payment effective July 1, 2017, please send a manual PAF to RCUH Human Resources via email at [email protected] to process this action. The deadline for the manual PAF is July 10, 2017.

We will open the online PA/PAF application again in September for pay increases or one-time payments with an effective date of October 1, 2017. We will make a formal announcement at a later time.
