Travel for Non–Immigrant Employees During Holiday Season

Holiday Season is approaching! If you are on a non-immigrant visa and will be traveling during the holiday season, we would like to remind you to email RCUH Human Resources – Immigration ([email protected]) at least two (2) weeks prior to your travel so that we can ensure that you have the proper documentation to travel and to return back into the United States. Please provide us with the following information:

(1) Dates of Travel (Departure and Return Dates)
(2) Who will be traveling with you
(3) Reason for Travel

RCUH will prepare the proper travel verification of employment prior to your travel and will provide to you as soon as your request has been received.

IMPORTANT REMINDER(S) WHILE TRAVELING OUTSIDE THE U.S.:

• The I-94 admission record. Upon your return, please go to the U.S. Customs and Border Protection website to get your online I-94 record. You will submit a copy of your I-94 record to the RCUH Human Resources office.

• Check the entry stamp to ensure that the period of admission matches the expiration date of the approved visa status. For example, be sure to check the validity dates of your passport before travel. If the passport expires prior to your approved visa status you should renew the passport before you return to the U.S. If you do not renew the passport, upon re-entry to the U.S., the immigration officer will issue an admission record valid only until the passport’s expiration.

• If you are a non-immigrant employee who has a pending “change of status” petition (i.e., change from F-1 to H-1B) with the U.S. Citizenship and Immigration Services (USCIS), you must remain in the U.S. until a determination on the petition is rendered. A non-immigrant who travels abroad while an application for change of status is pending is considered to have abandoned the change of status portion of the petition.

TIAA-CREF Individual Retirement Counseling Sessions

ATTENTION:  Regular status employees 50-100% FTE

If you are currently participating in RCUH’s Group Retirement Annuity (GRA) and/or Supplemental Retirement Annuity (SRA) plans administered through TIAA-CREF OR if you are interested in enrolling into a TIAA-CREF SRA plan, the RCUH Human Resources Department is now coordinating one-hour Individual/Employee Retirement Counseling Sessions with TIAA-CREF.  During these meetings, you will be able to discuss your personal financial/retirement goals with a TIAA-CREF Financial Consultant, on a free and confidential basis.

A TIAA-CREF representative will be able to assist you with planning for your retirement goals, including:

  • Setting realistic goals for key life events and retirement
  • Reviewing your investment mix and strategy
  • Selecting your TIAA-CREF options
  • Learning about TIAA-CREF retirement income flexibility

For employees unfamiliar with the SRA plan, it is considered a 403(b) tax-deferred annuity plan which allows an employee to make contributions via payroll deduction from his/her pre-tax earnings towards an individual retirement plan (i.e., SRA) through our third party administrator, TIAA-CREF.  Enrolling or making changes to your SRA election may be done at any time during the year. For more information about the GRA and SRA plans, please go to our website, www.rcuh.com and review the RCUH Retirement Plans Policy (3.560).

2016 RCUH Statewide United Way Campaign – October 5, 2016 to November 3, 2016

Welcome to this year’s RCUH United Way Campaign! During this tough time, we humbly ask for your continued support in working together to build a stronger, healthier community. As one of the largest non-profit organizations in Hawaii, the Aloha United Way supports a network of member agencies to meet a broad range of health and human service needs.

HOW TO CONTRIBUTE:
The RCUH Statewide United Way campaign allows our employees to donate to the various island wide United Way programs. You may contribute to any of the following islands United Way by completing the 2016 RCUH Employee Pledge Form:

Contribute via Payroll Deduction: RCUH employees have the option to contribute to the various Statewide United Way Campaigns via payroll deduction. Your payroll deduction will be collectively sent to the United Way Campaign specified by your completed pledge form. Payroll deduction period is from December 16, 2016 – December 15, 2017.

For Tax Purposes:
• Anyone who donates more than $250 will receive a tax acknowledgement letter from Aloha United Way in February.
• A gift from $1 – $47.99 will receive a thank note via email.
• A gift over $48.00 will receive a thank you note via mail.
• If a payroll deduction pledge is made, please make a copy of your pledge form and use your last paystub of the year to show the charitable donation.

Pay Award/Personnel Action Form (PA/PAF) – GO LIVE TODAY through October 11, 2016!

TO:   Principal Investigators and Fiscal Administrators

NOTE: This announcement is only applicable for Principal Investigators who missed the July 1, 2016 pay adjustments but submitted Annual Performance Evaluations by the September 12, 2016 deadline and will be providing their employees with pay increases/one-time payments effective October 1, 2016.

The online Pay Award/Personnel Action Form (PA/PAF) is now available for use via the Human Resources Portal. All Principal Investigators who have submitted their employees’ Performance Evaluations by the September 12, 2016 deadline who would like to provide their employees with pay increases or a one-time payment effective October 1, 2016 must initiate and approve the online PA/PAF no later than October 11, 2016 (no exceptions).

As a reminder, this is only applicable to RCUH regular-status employees (regardless of FTE).

The PA/PAF is located on the Human Resources Portal > Manage Employees Tab > Annual Pay Awards (PA/PAF). The PA/PAF will include a retroactive one-time payment option for the July 1, 2016 through September 30, 2016 period if an increase to base is provided.

Note: If you have submitted a manual PAF and Performance Evaluation to end an employee’s probationary period earlier and would like to provide the employee with a pay increase or one-time payment effective October 1, 2016, please send a manual PAF to RCUH Human Resources via email at [email protected] to process this action.  The deadline for the manual PAF is October 10, 2016.

Hawaii State Ethics Commission Training – October 26, 2016

SUBJECT:                 Ethics Training for Neighbor Island State Employees

The Hawaii State Ethics Commission is offering ethics training classes in October for state employees on Hawaii Island (Hilo and Kona), Kauai, and Maui.  The classes are open to all state employees and will provide an overview of the State Ethics Code, Hawaii Revised Statutes Chapter 84.  Topics will include conflicts of interest; gifts and the reporting of gifts; confidential information; misuse of official position; and post-employment restrictions.  There is no fee for this class, but early registration is encouraged as seating is limited.
